What a placement costs, and why

Placement fees are calculated from the hours your rotation requires, at a published rate, with a published minimum. There is no bidding and no surge pricing beyond the one surcharge described below.

The formula

Your placement fee is your rotation’s required clinical hours multiplied by $10 per hour, or $1,000, whichever is greater.

Rotations starting within 30 days carry a 10% urgency surcharge, because compressing paperwork and school approval into a shorter window takes materially more coordination. Quotes are valid for 14 days.

A clinical site may charge its own site fee. Where it does, it appears as a separate labelled line on your quote rather than being folded into the placement fee.

When you pay

Payment is split across stages tied to real progress. You are not charged the full amount up front.

  • 20% at mutual acceptance
  • 40% at paperwork ready
  • 40% at school approval

An optional priority coordination deposit of $149 moves your request into active coordination sooner and is credited against your first payment.

Refund terms

Full refund of placement fees if canceled more than 14 days before the requested start date. 50% refund if canceled 3-14 days before start. No refund within 72 hours of the requested start date or after it begins. The priority coordination deposit is non-refundable once coordination work has begun. Site fees follow the site's own agreement terms.

Separately, when a placement fails through no fault of yours — a preceptor withdraws, your school denies it, an offer expires, or we cancel — our exception policy treats that as fully refundable and we search for a replacement.

Pricing questions

Is the price I am quoted the price I pay?

Yes. A quote is fixed when it is issued and does not change afterwards. If your rotation's requirements change, you get a new quote rather than a silent adjustment to the old one.

Why is there a minimum?

Coordinating a short rotation takes roughly the same work as a long one: the same paperwork, the same school approval, the same site onboarding. The minimum reflects that fixed cost.

What is the priority coordination deposit?

An optional deposit that puts your request into active coordination sooner. It is credited against your first payment, so it is not an extra fee — but it is non-refundable once coordination work has begun.

Does the preceptor keep the whole fee?

No. The preceptor's honorarium is set by them and paid separately after a verified rotation start. If your clinical site charges a site fee, that appears as its own labelled line on your quote. The remainder covers coordination.
