What we are responsible for, what we are not, and how we handle your information.
Safety
Reporting a safety concern
Safety reports are treated as the highest-priority work we handle. Reporting one places an administrative hold that freezes any related payout while the concern is reviewed, so a financial deadline never creates pressure to leave something unexamined. Reports are recorded in an audit trail that cannot be quietly edited or deleted.
We can suspend a placement, withdraw a preceptor’s ability to accept students, or remove a site. What we cannot do is investigate clinical practice — that is for your school, the clinical site, and the relevant licensing board, and we will tell you when a concern belongs to them.
Privacy
We hold no patient information. We do not collect patient names, medical record numbers, encounter notes, or any other patient health information, at any stage. Clinical hours are recorded as an approved total, never as a log of individual patients. Document uploads carry a visible prohibition on including patient information for this reason.
Identity is disclosed at defined points. Preceptor and student contact details are not browsable. They are released to the other party at specific stages of a placement, and every disclosure is recorded. A hold or a change in approval status revokes access immediately rather than at the next login.
Documents are private by default. Credential evidence, immunisation records, and signed paperwork are stored in private storage and shared only with the parties a placement requires — your school’s reviewer, your clinical site — and only for as long as that access is needed.
Our reporting cannot identify you. Internal analytics work on aggregates, and any group small enough to identify an individual is dropped from a report entirely rather than masked. No report exposes a name, an email, or a single participant’s activity.
Analytics require consent. No measurement code runs until you actively allow it, and declining is a real option rather than a hidden one.
What we are responsible for
MyPreceptor coordinates clinical placements. We verify preceptor credentials and clinical site organisations before they can take students, we route paperwork and approvals, and we hold and release payments according to published terms.
We are not a clinical or academic authority. We do not decide whether a rotation satisfies your programme’s requirements, we do not supervise clinical practice, and we do not assess teaching quality — verification confirms credentials and agreements, and we do not present it as more than that. Your school remains responsible for approving your placement and your clinical site remains responsible for supervising you.
We do not guarantee placements. A preceptor must agree to take you and your school must approve the site. Where a placement fails, our published exception and refund terms determine what happens, and they are applied from the policy in force when your placement was created rather than decided case by case.
Fees and refunds
Placement fees, staged payment milestones, and full refund terms are published on the pricing page and are read from the same live policy the platform charges against, so what you are shown is what applies. A quote is fixed when issued and does not change afterwards.
Changes to these terms
Policies here are versioned with effective dates. A placement is bound to the version in force when it was created, so a later change does not retroactively alter the terms of a placement already under way.
