Process

How a placement works, stage by stage

Nothing here is hidden until you have paid. This is the whole sequence, including the points where a placement can stop.

The stages

  1. Step 1: Rotation request

    You describe what your program requires: specialty, total hours, date range, location and travel radius, modality, and any patient populations or settings your course specifies. Your school's placement rules are attached to the request, so requirements are enforced from the beginning rather than discovered at approval.

  2. Step 2: Matching

    We evaluate preceptors and sites against your request and show you why each one matched — specialty fit, distance, availability against your dates, and estimated cost. Candidates that cannot work are excluded with the reason shown, not silently dropped.

  3. Step 3: Offer and mutual acceptance

    Either you or the preceptor can start an offer, but it only becomes a placement when both sides have accepted. Offers expire if they are not accepted, so a request is never left hanging on someone who has moved on.

  4. Step 4: Quote and staged payment

    At acceptance you get a fixed quote that does not change afterwards. Payment is split across three milestones tied to progress: mutual acceptance, paperwork complete, and school approval.

  5. Step 5: Paperwork and signatures

    We assemble the packet your school and site require, show you exactly what is outstanding and who owns each item, and route documents for signature. Items that block progress are marked as blocking.

  6. Step 6: School approval

    Your school reviews the placement and approves, requests revisions, or denies it. This is a required stage — a placement cannot proceed to onboarding without it.

  7. Step 7: Site onboarding and scheduling

    Site checklists, background requirements, any systems access, and orientation, followed by a proposed and then confirmed schedule. Shifts are stored in the site's own time zone so a start time never shifts by an hour on you.

  8. Step 8: Start, delivery, and completion

    You and your preceptor each confirm the rotation actually started; if you report different dates, a coordinator resolves it. We track approved hours in aggregate and any interruptions, and the preceptor's honorarium is only released after a verified start.

What we deliberately do not do

We do not collect patient names, medical record numbers, encounter notes, or any other patient health information. Hours are tracked in aggregate, not as a log of who you saw. There is no clinical reason for a coordination platform to hold that data, so it does not.

We also do not publish preceptor identities or contact details to people browsing the site. Matches are visible to the student whose request produced them, and identifying details are released at a defined point in the process.

Questions about the process

What happens if my school denies the placement?

The placement stops there, and a school denial opens a case rather than quietly closing. Under our published exception policy a school denial is fully refundable, and we can search for a placement that meets your program's requirements instead.

What if my preceptor withdraws after I have paid?

A preceptor withdrawal is treated as our problem to solve, not yours. It is fully refundable under the same policy, your approved paperwork carries over where it is still valid, and we search for a replacement.

When do I get my preceptor's contact details?

After mutual acceptance and the payment stage that follows it. Contact details are released at a defined point rather than being visible while you browse, which protects preceptors from being contacted directly outside the process.
